Most entrepreneurs and business owners feel like they are running behind. Not because they lack effort, but because they have never applied the two universal laws that govern how time actually works. On The Daily Mastermind, George Wright III breaks down the Pareto Principle and Parkinson's Law, and shows you exactly how to use both to take back control of your schedule.

What Is the 80/20 Rule and Why Does It Matter

The Pareto Principle, commonly called the 80/20 rule, states that 80% of your results come from 20% of your efforts. George is clear that this is not a theory or a coaching concept - it is a universal law operating in every area of your business and your life.

"80% of your outcome comes from 20% of your input."

In practical terms, this means that out of everything on your to-do list today, roughly 20% of those tasks will produce 80% of the meaningful results. Most people are busy grinding through the full list without ever stopping to identify which items are in that high-leverage 20%.

How to Use the 80/20 Rule in Your Business

George points to his seven-step revenue mastery program as a real-world example. Inside the growth strategy section alone, there are dozens of tactics a business can pursue, but only a handful - paid ads, upsells, cross-sells, down-sells, and drip campaigns to your existing database - consistently fall into that top 20% that drive the majority of results.

The lesson is not to abandon everything else, but to identify your highest-leverage activities and protect time for them first.

How to Apply the 80/20 Rule to Daily Productivity

One of the most actionable techniques George shares is the "Top 3" exercise. At the end of each day, write down the three tasks that will create the biggest win tomorrow. Not 20, not 10 - three. Even if your task list has hundreds of items, focusing on those three high-impact priorities means you are operating inside that productive 20%.

The same thinking applies to decision-making. When a problem has many possible causes, the Pareto Principle helps you identify the 20% of causes driving 80% of the friction. Fix those first, and the rest often resolves itself.

What Is Parkinson's Law and How Is It Hurting You

The second universal law George covers is Parkinson's Law: work expands to fill the time you allot to it.

"The work that you have will expand to fill the time you allot to it."

If you give yourself two weeks to finish a task, it takes two weeks. If you give yourself one afternoon with a hard deadline, it gets done in an afternoon. This is why successful people set firm schedules, and why people without clear time boundaries always feel like they never have enough hours in the day.

Practical Strategies to Put Parkinson's Law to Work

George outlines several approaches to beat procrastination and compress your timelines:

  • Set self-imposed deadlines even when no external deadline exists.
  • Use time boxing: block a specific window on your calendar and commit to finishing the task inside it. Elon Musk and others use this method to stay focused and avoid time bleed.
  • Try the Pomodoro Technique: work in 25-minute focused sessions followed by 5-minute breaks. The structure keeps energy high and tasks moving.
  • Invest in task management software or develop systems that organize your commitments so you are not carrying them all in your head.

Action Steps

  • Audit your current task list and identify the 20% of activities most likely to produce 80% of your results. Focus your peak energy hours there.
  • Start a "Top 3" habit: each evening, write down the three tasks that will have the highest impact the next day.
  • Set a self-imposed deadline for at least one project you have been letting drift, then put it on your calendar as a hard block.
  • Try one Pomodoro session (25 minutes of focused work, 5-minute break) on your next high-priority task.
  • Evaluate one task management tool that could help you get commitments out of your head and into a reliable system.

Your time is one of your most valuable assets. When you start treating it that way - applying the 80/20 rule to identify your highest-leverage work and using Parkinson's Law to compress timelines instead of expanding them - you will accomplish more, feel less overwhelmed, and move steadily toward the life you were meant to live. It's never too late to start living the life you were meant to live.

Okay, welcome back to The Daily Mastermind, George Reich III with your daily dose of inspiration, motivation, and education. Guys, listen, today I want to talk to you about your time management and your productivity. It's the middle of the week. It's Wednesday. I don't know if you feel like you're crushing it this week or if you feel like you're 10 appointments behind, but the bottom line is this, you have got to control your schedule if you're going to be successful in life, in business, in communication, in relationships. You've got to get control of your schedule. So many people I talk to tell me they're just overwhelmed, that they don't have their schedule, that they're not in control of their schedule. I believe at the end of the day, you have to have time management principles and skills to be able to grow and evolve and create the life you want to live. So you're running your life. Your life's not running you. So let me start you with the Daily Mastermind quote of the day. The quote of the day is, nothing is impossible to a willing heart. Nothing is impossible to a willing heart. And what that quote says to you is that if you have the desire to create a life where you have flexibility, freedom, but opportunity and growth, you can do it. But you've got to take control. You've got to be the one creating your life, not just responsibility and accountability, but you've got to take control of your life. So I want to talk to you today about whenever I think about time management, I think about two specific rules, they're laws, they're universal truths that you have to be aware of. And I remember going through my career, I might've been aware of them here or there, but if I had been more aware of them or when I was more aware of them, I would always get more success. And these two specific rules or laws are universal truths. And the first one is the 80-20 rule. This is the Pareto principle. You've heard it explained as the 80-20 rule or the Pareto principle. What is the 80-20 rule? Well, in simple terms, it says that 80% of your outcome comes from 20% of your input. So meaning 80% of your results are really going to come from 20% of your efforts and focus. But this is going to affect every area of your business, your productivity, your decision-making, even your results overall in your business. So let's break that down for a minute. Did you know, and this is a universal law, this is not George Wright, this is not a couple of people telling you this. Did you know that in most things in life there are universal laws and universal principles Well the 80 rule is no different 80 rule says that where your focus goes results will happen And 20 of the activities that you spend the most time on or 20 of your activities are creating 80% of your results. And I can tell you this because when we, I mean, I've seen this through business time and time again. For example, with the seven-step revenue mastery program that I've gone through with a lot of my clients, we talk about all these different things you can do to grow your business, your mindset, your strategy, your marketing, your sales, your growth strategies, your people, and your wealth planning or your money. But in the growth strategy section, which means you're trying to find ways to grow your revenue, there are a lot of things you can do, but there's usually, you know, there's only about five levers you can pull, but there's usually only a couple of things that can create massive results. It's that 20%. That's why we talk about paid ads. We talk about upsell, cross-sells, down-sells, drip campaigns to your database. Things are activities that fit in that 20% that create 80% of the results. And it's so important for you to identify these because it also affects you in your productivity. In other words, how do you prioritize your tasks that you need to get done every day because out of your entire task list of the things that you want to do today, 20% of those tasks are going to give you the most results. And instead of trying to accomplish everything, sometimes it's more important to identify those top 20% that are going to get you the biggest results. That's one of the reasons why he implemented a long time ago at the end of the day, coming up with my top three. What are the three things that I'm going to do to get a win, even though I may have a list of 582 things, right? So you've got to focus your efforts, not just in business results, but in your productivity into how the 80-20 rule can help you, how you can take your tasks and sort into the 20% that are going to make the biggest result. The other thing is in your decision-making process. Let's break this down for you. When you're making decisions, there's many different solutions and there's many different causes. Sometimes problems you have in your business or in your life are caused by a lot of different things, but there's usually about 20% of the causes that if you were to fix those or focus on those would create the biggest impact. In addition, there's 20% of the solutions you're going to try that are going to create the biggest impact. So what I'm trying to do here is I'm trying to get you to be more conscious and cognizant of your time. Be more aware of where you spending your time because it not about knocking tasks out It not about finding lots of things to get done It about finding the 20 that are going to create the most significant results for you And when you apply this Pareto principle this 80 you going to find clear priorities. You're going to get more productivity. You're going to be able to manage and delegate tasks a little bit better. And most importantly, you'll be able to focus your energy. And energy is what's really going to take it. Now, I'm going to give you a warning here because I know what some of you are thinking, this does not mean that 20% of your effort means you can get rid of the other 80%. Okay. We're talking about taking your time and focusing on the 20%. This isn't about only working 20% of the time, right? This is that. But don't lose sight of the other 80%. Don't lose sight of the other 80%. Just become more effective at managing that, delegating that, deleting that, organizing that. And when you do that, you'll be more effective and you can spend more time on the 20%. Now, the other rule, I told you there was two, the other rule or law I want you to be aware of is Parkinson's law. Now you may or may not have heard of this one, but you know what it is. Parkinson's law says, and the idea of it is that the work that you have will expand to fill the time you allot to it. And this is going to come into a lot of different place in your life. That's why people that work all day long and people that work shorter tasks but get them done can get the same type of thing done. Successful people set time to get the task done. Unsuccessful people just continue to work and they don't have a set schedule. And so this idea of Parkinson's law says that if you decide you're going to go work on a task and procrastinate it and put it off for two weeks, it's going to take two weeks. If you decide you're going to get it done in a certain day time or deadline, it's going to get done in that time. But work will expand to the time you put into it. So what do you do about this? How do you adapt and make this law work for you? Well, plan your work very strategically. Be very specific about the systems that you put in. Set self-imposed deadlines. Even if there's not a deadline, set a deadline for yourself so that you can actually get the work done in less time. Another technique people use is like time boxing. You've heard you know, Elon Musk and several others do time boxing, which is setting goals to finish a task in a specific period of time. They go into their calendar, they set a box of time. That's the time they're going to get a specific task done. And you can learn more about time boxing. I'll probably put a link in the show notes here. But time boxing is a way to be more specific with your time and not let that expand into your schedule Another method is the Pomodoro technique The Pomodoro technique is one where you use 25 work sessions or segments with five minutes breaks and you just take these little chunks of time and you get stuff done. But the bottom line I'm talking about here is time management and finding ways to be more productive. You've got to do this. You've got to find ways to be more productive with your time because time is one of your greatest assets. If you didn't hear that podcast I did a little while back on time, I suggest you go back to it because when you view time differently, you won't waste it like you're doing right now. And when you view time differently, you'll find ways to optimize it and make it more productive and get more done in less time. But the key is, how do you use these two universal principles that I'm sure are affecting you negatively now, the 80-20 rule and Parkinson's law, how do you use those to become more productive with your time, because remember the goal is this, we want you to create a better life. One of peace of mind, one of flexibility and freedom. As an entrepreneur, business owner, investor, that's what you want. You want flexibility and freedom. When you do that, you're going to find that you are going to create the life that you were meant to live. And you can accomplish more when you put Parkinson's law and the 80-20 principle to work in your day-to-day. So the last thing I would recommend to you is get some task management software. I know we all hate to use programs and softwares, but if you can do things to offload the peace of mind of tasks and organize yourself better, just like anything else, where your energy goes, your focus flows, energy goes. And so I highly recommend you start to look at your time management. That's the message I want to have for you today.
